Job Title: Executive Assistant (EA) TO CMD
Key Responsibilities:
Calendar Management:
- Plan, coordinate, and manage the CMD’s complex calendar, including international travel schedules, meetings, and appointments.
- Ensure seamless scheduling and effective time management.
Travel Coordination:
- Arrange detailed itineraries for international and domestic travel, including flights, accommodations, visas, and transportation.
- Handle last-minute changes and ensure smooth travel experiences.
Communication Management:
- Act as the primary point of contact for the CMD’s communications, including emails, calls, and correspondence.
- Filter, prioritize, and escalate communications as needed.
Meeting Preparation:
- Organize and prepare materials for CMD’s meetings, including agendas, presentations, and briefing documents.
- Take detailed meeting notes and follow up on action items.
Administrative Duties:
- Draft, proofread, and edit correspondence, reports, and presentations.
- Maintain an efficient documentation and filing system for easy retrieval.
- Manage confidential information with utmost discretion.
Stakeholder Coordination:
- Facilitate communication and collaboration between the CMD and key stakeholders, including clients, partners, and team members.
- Represent the CMD in their absence when required.
Project Assistance:
- Support the CMD in tracking and executing strategic initiatives and projects.
- Monitor project timelines and deliverables to ensure alignment with organizational goals.
Event Planning:
- Coordinate large exhibitions, conferences, or corporate events, including logistics, vendor management, and execution.
Problem-Solving:
- Handle unforeseen issues efficiently and proactively to avoid disruption in CMD’s operations.
Qualifications and Skills:
Education: Bachelor’s degree in Business Administration, Management, or a related field.
Experience: Minimum of 5+ years as an Executive Assistant or in a similar role, supporting senior executives or C-suite leaders.
Skills:
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual collaboration tools (Zoom, Teams, etc.).
- Experience in managing international travel and multi-country operations.
- Ability to work independently and handle high-pressure situations.
